There is no second take at an event
A product shoot can be repeated tomorrow; an event cannot. The speaker walking on stage, the signing, the award and the reaction in the room happen once. Choosing an event photographer is therefore risk management rather than taste. Ask these questions before you sign anything.
The portfolio must come from real events
Studio portraits can be beautiful, but working in a dim hall among moving people is a different skill. Ask to see one complete event folder, not the best five frames: the sequence from arrival to closing. A good reportage set tells a story.
1. How often have you covered this format
Conferences, openings, gala dinners and factory tours run on different rhythms. A conference needs the speaker and the slide in one frame; a gala runs on emotion; an opening cannot miss the ribbon, the officials and the press moment. Experience converts directly into results here.
2. How do you handle low light
Most venues are lit for video, not for stills. You want fast lenses, controlled flash technique and proven clean files at high ISO. Agree when flash is used, too: constant flash during a keynote irritates both the speaker and the audience.
3. Do you carry backup equipment
The professional answer is short: two camera bodies, a spare lens, spare batteries and dual card recording. If a camera fails on the day, a photographer without backup loses your event. It sounds like a basic question, and it is the one that separates people fastest.
4. How many photographers will work
One person cannot cover two parallel halls. If the stage, foyer networking, sponsor stands and VIP meetings happen at once, you need a second shooter. Crew size should be decided from the run sheet, not estimated.
5. When is delivery
Ask for two deadlines: a selected set for social media and the full folder. In practice, ten to twenty frames for press and social the same night or next morning, with the full folder in five to ten working days, is a workable schedule. Put it in the contract.
6. How many frames, and what retouching
Agree on quality rather than a number. Two hundred selected, colour-matched frames are more useful than five hundred near-duplicates. Note which images get deeper retouching: usually the opening, the awards, the keynote and the group photo.
7. Do you need same-day content
If the social team plans to post during the event, say so in advance. The photographer then offloads cards periodically and makes a fast selection, sometimes with a separate editor on site. Asking mid-event is difficult because the whole workflow is built differently.
8. Contract, usage rights and confidentiality
Document where, for how long and in what form the images may be used. Closed events need a confidentiality clause, and some venues require a separate filming permit. It also helps to note in the invitation that photography will take place.
What the organiser should prepare
A minute-by-minute run sheet, a list of must-have moments, names of speakers and VIP guests, where logos and brand elements sit, and any zones where photography is not allowed.
