Event coverage
••2 min read•Media7 EditorialAn organiser checklist for event video production
Twelve points to agree before filming a conference, opening or corporate event: stage, sound, access and shot list.

Events cannot be reshot
Event video is not a studio commercial. The speech, the ribbon cut and the room’s reaction happen once. The organiser checklist is as important as the production brief.
1. Purpose and deliverable
A 60-second highlight, a full keynote, a same-day edit, or an internal archive? That choice sets camera count and edit time.
2. The run of show
Opening, speeches, panel, break, cut, photo wall. When may the operator approach the stage, and when must they stay back.
3. Sound
A feed from the house mixer beats the camera microphone. Media7 plans a mixer take and a backup lav whenever the venue allows.
4. Light
Stage light can save a face and still leave guest tables in the dark. Extra lighting is agreed with the organiser, not improvised in the aisle.
5. Consent and brand
Faces, speaker slides, sponsor marks. Some slides are internal and must not remain in the cut.
6. Movement
Gimbal path, locked-off position, drone zone if any. Guest flow and safety depend on it.
7. Same-day needs
If a highlight will play the same evening, an editor sits on site. Card-handover rules are written in advance.
8. Delivery
How many versions, which aspect ratios, which day. “We’ll see after the event” is how films drift for weeks.
Media7 turns this checklist into a brief so that, on the day, the organiser can run the room instead of the crew.
